Summary Our company is seeking an Administrative Assistant to help manage the office, perform accounts payable and accounts receivable duties, process staff hours & timesheets, and handle duties for upper management. We are looking for an efficient and proactive individual capable of working as a member of a team. The ability to multitask, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, able to handle multiple tasks, a good problem solver, and highly organized. Assuring a steady completion of workload promptly is key to success in this position. Responsibilities Manage workflow by completing daily tasks and ensuring that deadlines are met and work is completed correctly. Assist in training staff members and new hires. Implement and monitor programs as directed by management, and see the programs through to completion Generate memos, emails and reports when appropriate. Assume responsibility for inventory and proper maintenance of company equipment, including vehicles, computers, testing equipment and copy machines. Maintain office supplies by checking inventory and order items. Respond to questions and requests for information. Answer incoming calls and assume other receptionist duties when needed. Handle account payable and account receivables. (Quickbooks) Handle timesheets and payroll (Quickbooks).

Document management:

Filing, organizing and scanning documents. Keeping track of all licenses to make sure they stay current and get renewed in a timely manner. Requirements Proficiency in Quickbooks. Must have proficiency in MS Office with expertise in Outlook, Word, Excel and PowerPoint. Proficiency in PDF editing software. Capable of receiving training and interacting with supervisors via Microsoft Teams Video Call. Ability to analyze and revise operating practices to improve efficiency. Detail oriented and comfortable working in a fast-paced office environment. Exceptional communication skills Superior organization skills and dedication to completing projects in a timely manner. Capable of calling vendors, clients and employees to expedite issues resolution.
