Full Job Description About HAS Companies:

At HAS Companies, we are a business group with over 24 years of experience, specializing in travel assistance and insurance, international health insurance, technological developments focused on the medical field, risk management (TPA), and cost containment. We are currently seeking an Administrative Assistant to join our finance team. The purpose of this role is to support and ensure the proper execution of the Group’s administrative processes, maintaining data integrity and compliance with both local and international regulations.

Responsibilities and Duties:

Coordinate conferences, meetings, or special events, including organizing support materials such as brochures and invitations. Arrange and book travel, conference rooms, and accommodations for office staff. Maintain and update the scheduling calendar and event agenda for executives. Send newsletters, documents, or other required information to internal and external clients. Complete forms in accordance with company procedures and needs. Monitor and manage office supply inventory, placing orders when needed. Set up and maintain physical and digital filing systems, register information, update records, and keep correspondence organized. Request maintenance or repair services for malfunctioning equipment. Use technology tools to manage databases, word processing, and other administrative tasks. Welcome visitors, respond to inquiries, offer beverages, and ensure a pleasant experience. Answer phone calls, provide information, take messages, or transfer calls to the appropriate person.

Education:

Associate or bachelor’s degree in Finance, Business Administration, or a related field.

Experience:

1 to 2 years of experience in administrative or financial areas (not mandatory but preferred).

Technical Skills:

Experience with accounting systems, preferably QuickBooks (desired but not required). Proficient in Microsoft Excel and Microsoft Office tools.
