Fort Lauderdale, FL 33351 We are looking for an experienced administrative assistant to join the Integ team.
The Administration Analyst is responsible for coordinating and supervising administrative activities, ensuring that processes are efficiently recorded in the systems and in compliance with established policies. Their duties include data management, tracking transactions in the purchasing and billing departments, and supporting the implementation of administrative strategies to ensure the proper functioning of the areas involved.
Responsibilities:
General:
1. Efficiently manage administrative and accounting processes, ensuring the timely recording and tracking of payments and transactions in established systems. 2. Provide support to the various operational departments, ensuring the correct execution of processes related to purchasing, billing, and internal requests. 3. Prepare reports and accounting reconciliations that support decision-making, ensuring accuracy and transparency in financial information.
Specifics:
1. Capture and record ID Payments in Quickbase 2. Record and track payments for both purchases and customers 3. Capture and record transactions in QuickBooks 4. Follow up on requests from the Engineering and Purchasing Departments regarding CDC creation, PayApp Customer, and invoicing 5. Account Reconciliation 6. Report Creation Qualifications Proven experience in executive administrative support and personal assistance Strong organizational skills with proficiency in calendar management Excellent phone etiquette and customer service skills Proficient in Microsoft Office and Google Suite, with typing and data entry capabilities Familiarity with QuickBooks and bookkeeping practices Experience in event planning and project coordination is a plus
