The Office Administrator position is responsible for overseeing various office administrative tasks, ensuring efficiency, effectively communicating with team members, vendors, subcontractors, and clients. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. The position is fundamental to the administrative and operational functions of the Company and as such requires established organizational skills, with attention to detail and solid time management, and good interpersonal skills. Essential Duties and Responsibilities include the following. Other duties may be assigned. • Manage daily office operations, including front desk responsibilities and greeting visitors. Perform administrative assistant functions including but not limited to: record keeping, filing, mail collection and distribution, word processing, data entry, maintain and replenish office supplies, and other essential needs as required. Support the Construction Department with administrative duties Ensure that the telephone is answered properly, and messages are handled courteously, accurately, and responded to in a timely manner. Coordinate and track important dates and meetings, such as turnover, annual, and budget meetings. Maintain, update, type, and coordinate account information in computer database. Provide additional support as directed by Project Managers. Accounts receivables/Accounts payable Support Provide support of staff expense input and submittal to ensure they are accounted for in monthly invoice statements and/or the company’s overhead. Assist with the coordination of internal and external meetings Provides support by scanning, filing, copying, data entry. Assumes other duties as directed by immediate supervisor. Requirements include the following. Other duties may be assigned. High School education or equivalent with a minimum of 5 years of administrative support experience or Associate’s degree Professional office etiquette and strong customer service for our internal and external customers Proficient with MS Office suites including intermediate to advanced skills in MS Excel, MS Word, and MS Teams. Experience with MS Project is preferred. Experience with accounting preferred.
