Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential administrative and clerical support to ensure the smooth daily operations of the office. This role requires very strong communication skills, multitasking abilities, and proficiency in office management tools. Excellent follow-through and documentation skills are essential.

Key Responsibilities:

Outreach to speech therapists and new clients to coordinate virtual sessions. Includes negotiating with contractors regarding coverage and acceptance of clients. Customer service support with existing clients to facilitate schedules, payments and coordination of insurance documentation. Includes sales of service packages. Answer phone calls, respond to emails, Teams chats and SMS messages in a timely, professional and courteous manner. Complete data entry and maintain databases with accuracy. Support other team members with task and response tracking and administrative duties as needed. Ensure confidentiality of sensitive company and HIPAA data

Qualifications & Skills:

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred) Proven experience as an administrative assistant or in a similar role Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent verbal and written communication skills Strong organizational and time-management abilities Attention to detail and problem-solving skills Ability to work independently and as part of a team in a fast-paced environment Professional demeanor and strong work ethic

Work Environment:

In person May require occasional work outside of standard business hours and/or overtime, depending on workload
