ADMINISTRATIVE ASSISTANT TO START ASAP!

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include, but are not limited to, providing support to our manager and employees, assisting in daily office needs, and managing our company’s general administrative activities. Administrative Assistant responsibilities include preparing and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like MS Excel, MS Word, and office equipment. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. Responsibilities Answer and direct phone calls Organize and schedule appointments Customer service Data entry and process payments in Quickbooks Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Apply, maintain, and close, building permits for jobs Maintain a filing system Order office supplies and research new deals and suppliers Develop and maintain relationship with vendors to obtain equipment prices and deals Assist preparing estimates for customers Collect and maintain AR up-to-date Submit and reconcile AR reports Provide general support to visitors and employees Act as the point of contact for clients and employees Required Skills Proven experience as an administrative assistant or office admin assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint) Proficiency in Quickbooks Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task The ability to work in a fast-paced atmosphere and to work independently High School degree minimum required; some college is preferred, and additional qualification as an Administrative assistant or Secretary will be a plus Conversational skills in Spanish (be able to understand and speak clearly)
