Provides clerical support to the Intake Supervisor and Coordinators by processing documents and information in a fast-paced environment. Must adhere to HIPAA guidelines and maintain the confidentiality of all information. Approximately 15-20K clients will come through CI&R on an annual basis. Must follow HIPAA guidelines and maintain the confidentiality of information. Responsibilities
- Enter all client information from prenatal and infant screens or referrals accurately and in a timely manner into the computer.
- Performs a search of the Well Family System (WFS) on each new screen or referral entering CI&R to verify if the client is already in the system, preventing duplication of contact attempt efforts and services.
Process low-risk screens assigned by generating necessary correspondence (e.g., client letters, provider feedback letters, etc.) in compliance with program guidelines. Perform a quality assurance review of each case processed; The intake assistant ensures compliance before closure. Develop and maintain a thorough understanding of the program’s electronic record system and the Florida Healthy Start Standards and Guidelines. Prepare and submit accurate administrative reports on a timely basis (e.g., caseload reports, timesheets, logs). Complete and document intakes as needed. Participate in training, supervision, and team meetings as requested.
- Set up and maintenance of CI&R administrative files. Prepare client files and documents in a timely manner, following program guidelines and documenting actions taken. Prepare and mail client letters accurately and on a timely basis, as needed. Monitor and organize paperwork received, including cross-referencing email notifications from CI&R Intake Coordinators. Requirements
- Bachelor’s degree in social work, human services, or related field in an accredited program.
- High school diploma or
- Associate’s degree with a minimum of 3 years of experience working in community health, social services, or customer service.
- Bilingual in English and Spanish or Creole preferred.
- Previous experience in maternal-child health and case management is preferred.
- Proficient computer skills, including proficiency in Microsoft Office (Excel, Word, Outlook) and internet usage.
- Ability to interface effectively with a diverse population.
- Professional communication, documentation, and time management skills.
- Must communicate effectively both verbally and in writing.
- A valid Florida driver’s license is required, along with a satisfactory driving record.
- Regular in-office attendance is an essential function of the job.
- Must reside in Broward, Miami-Dade, or Palm Beach County.
