Job Description

Inventory Administrative Assistant MAFÈ Resources Coral Springs, FL 33071 • Hybrid work Inventory & Administrative Coordinator Position Overview We’re seeking a proactive and detail-oriented administrative professional to oversee inventory management and provide direct support to the company’s financial operations. This hybrid role requires a strong multitasker with excellent organizational and communication skills who can ensure data accuracy, support vendor relations, and help manage key accounting processes.

This position does not include medical insurance benefits Primary Responsibilities Inventory Oversight Monitor daily inventory levels and ensure accurate system tracking of product availability, status updates, and alerts Coordinate with the warehouse team to verify stock accuracy and maintain fulfillment readiness Identify low-stock or surplus trends and notify procurement to support timely replenishment Maintain detailed product records, including movements and adjustments Financial & Administrative Support Assist with day-to-day financial operations, particularly in accounts payable Process vendor invoices, track payment statuses, and ensure documentation compliance Support the preparation and maintenance of accurate sales commission reports Reconcile and document billbacks, rebates, credits, and freight claims Collaborate with vendors to address inquiries, resolve discrepancies, and foster strong partnerships Qualifications 2-5 years of experience in administrative support, inventory coordination, or related roles Solid understanding of inventory systems and financial workflows (AP, billing, claims) Proficiency in Microsoft Office, especially Excel (formulas, data tracking) Strong attention to detail and organizational abilities Excellent verbal and written communication skills Comfortable managing multiple priorities in a fast-paced environment Preferred Experience Familiarity with freight claim resolution, rebate/billback documentation, or vendor credit processes Industry experience in food production, distribution, or consumer goods a plus Exposure to ERP or inventory/accounting software systems (e.g., QuickBooks, NetSuite, Fishbowl) What We Offer On-site role in a collaborative and operations-driven office Monday-Friday schedule with stable hours (no weekends) Paid holidays and PTO provided Vacation eligibility after 1 year of employment Please note: This position does not include medical insurance benefits
