The ideal candidate will play a crucial role in maintaining the smooth operation of our office by performing various administrative tasks. This position requires a proactive individual with strong communication skills, who can manage multiple responsibilities effectively while providing excellent customer service.
Responsibilities:
Assist attorneys and paralegals in preparing and filing immigration applications and documents. Organize and maintain client files, both in physical and electronic formats. Communicate with clients in a professional and courteous manner, providing updates and information as needed. Schedule appointments, hearings, and meetings. Perform data entry and maintain case management databases. Conduct basic legal research and gather supporting documents. Assist with general office duties, such as answering phones, photocopying, and scanning. Performing receptionist duties when required.
Qualifications:
High school diploma or equivalent; some college education or relevant coursework is preferred. Strong organizational skills and attention to detail. Ability to prioritize tasks and meet deadlines. Strong proofreading skills to ensure all written communications are error-free. Excellent time management skills to prioritize tasks effectively in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to work independently and as part of a team. Fluency in Spanish is highly preferred. Previous experience in customer service is highly valued, particularly in an office setting. Previous experience in a law firm or office setting is a plus.
