Manage and update departmental processes. Job Summary The Operations Assistant is responsible and accountable for services related to JET-Infrastructure (JET) operations assets. This position may have responsibilities that include, but are not limited to, budgeting, financial tracking, communication with vendors, Database/software administration, data entry, report generation, presentations, recordkeeping, and other general administrative tasks. The ideal candidate will have excellent communication skills with all internal and external customers, strong organizational skills, attention to detail, a high degree of confidentiality, a proactive approach to problem-solving, an expert-level ability with MS Office products, and an elevated level of poise in business engagements. As an Operations Assistant for JET OPS Department, they will work closely with JET stakeholders, outside consultants, contractors, vendors, and operating company project teams. Responsibilities Assist with financial reporting needs within the department Develop spreadsheets, diagrams, and process maps based on project needs. Perform financial and data analysis ensuring day-to-day updates of cost and spend. Accrual Data gathering, analyzing, and input. Orchestrate meetings / travel / dinners as needed. Provide administrative support to Operations Department Directors and Operations field personnel. Manage 3rd party vendor vetting process and documentation. Maintain organized digital and physical filing systems for operational records and compliance reports. Perform other related duties as assigned. Requirements Minimum of 5 years of administrative experience, preferably in an industrial, energy, or transportation environment. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience working with financial systems (Oracle NetSuite) a plus. Excellent written and verbal communication skills. Detail-oriented with strong organizational and multitasking abilities. Ability to handle confidential information with discretion. Familiarity with environmental or safety compliance processes a plus. Ability to work independently or within a team environment.
