We are looking for a dedicated and organized individual to join our telehealth team as a Personal Assistant and Customer Service Representative . This dual-role position supports both administrative operations and patient communications, primarily over the phone. You’ll be responsible for managing schedules, handling patient inquiries, and ensuring a seamless virtual healthcare experience for clients.
Key Responsibilities:
Personal Assistant Duties (Telehealth): Manage and maintain calendars for healthcare providers, including scheduling patient appointments and meetings. Assist with electronic health record (EHR) documentation and data entry. Coordinate virtual appointments, follow-ups, and reminders. Handle confidential health information with strict HIPAA compliance. Prepare and send digital correspondence, forms, and reports. Assist with onboarding new staff or patients as needed. Customer Service (Phone Support)
Duties:
Answer inbound calls from patients with empathy and professionalism. Assist with account setup, appointment scheduling, insurance inquiries, and basic tech support. Provide clear information on services, procedures, and virtual care protocols. Resolve patient concerns or escalate medical or technical issues to appropriate personnel. Document all calls and communications in the EHR or CRM system. Follow up with patients to ensure satisfaction and care continuity.
Requirements:
High school diploma or equivalent; medical or administrative certification a plus. Previous experience in a medical office, telehealth, or healthcare-related customer service role. Strong phone communication and interpersonal skills. Knowledge of HIPAA regulations and patient confidentiality standards. Proficiency with EHR systems (e.g., Athenahealth, Epic) and telehealth platforms (e.g., Zoom for Healthcare, Doxy.me). Ability to multitask and remain calm in fast-paced situations. Reliable internet and quiet workspace if working remotely.
Preferred Skills:
Familiarity with insurance verification and medical terminology. Experience using scheduling software and CRM tools. Bilingual (Spanish, Mandarin, etc.) is a strong asset.
Working Hours:
Monday-Friday 9am-5pm EST Occasional evening or weekend availability may be required based on provider or patient needs.
