Position Summary:

We are seeking a highly organized, detail-oriented Secretary to support our fast-growing team. This key administrative role involves managing communications, organizing documentation, and maintaining a smooth office workflow. The ideal candidate will be proficient with CRM systems, have excellent communication skills, and be capable of professionally interacting with clients, vendors, and internal staff.

Key Responsibilities:

Serve as the first point of contact for client inquiries via phone, email, and in-person
Manage and maintain the company’s CRM system, ensuring all client interactions and project updates are accurately recorded
Schedule appointments, meetings, and installations across departments
Draft, format, and send emails and official correspondence on behalf of the company
Organize and maintain digital and physical filing systems
Coordinate internal communication among departments (Sales, Installations, Customer Service)
Track project timelines and provide updates to clients and team members
Handle basic bookkeeping, invoicing, and payment follow-ups as required
Support general office operations and assist leadership with special projects and administrative tasks

Qualifications:

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
2+ years of experience in a similar administrative or secretarial role
Proficiency in CRM platforms (e.g., Salesforce, HubSpot, or similar)
Strong organizational skills and attention to detail
Excellent written and verbal communication abilities
Professional demeanor and a client-focused mindset
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
