Office Administrative Assistant 2.3 2.3 out of 5 stars Placida, FL 33946 Job Summary We are seeking a motivated and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, providing exceptional customer support, and maintaining an efficient work environment. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks effectively. Duties Manage and maintain office calendars, scheduling appointments and meetings as necessary. Operate phone systems to handle incoming calls, direct inquiries, and provide information to clients and visitors. Utilize Windows Suite for document creation, data management, and communication with team members. Serve as the front desk representative, greeting visitors and ensuring a welcoming atmosphere when needed. Oversee general office management tasks including supply inventory, equipment maintenance, and facility management. Provide excellent customer support by addressing client inquiries and resolving issues promptly. Perform data entry tasks accurately to maintain up-to-date records. Assist with administrative duties such as filing, organizing documents, and preparing reports. Perform other duties as assigned and assist other departments as needed. Prepare and distribute daily Flash Report. Prepare and distribute monthly Pace Report. Create, track and distribute gift certificates for donations. Qualifications Proven experience in office administration or similar roles is preferred. Strong skills in calendar management and familiarity with phone systems. Proficiency in Outlook Suite applications (Docs, Excel) is essential. Excellent organizational skills with the ability to multitask effectively. Strong customer service orientation with excellent communication skills. Experience in data entry with a keen eye for detail. Previous experience in Community Association Management is a plus but not required. Ability to work independently as well as part of a team.
