Job Description

Administrative Assistant 4.7 4.7 out of 5 stars 5200 Crayton Road, Naples, FL 34103 Job Overview The Administrative Assistant will be exceptionally organized and focused and will proactively support our organization’s day-to-day operations. This individual is a welcoming presence for visitors and members, with a high level of professionalism and confidentiality. They will ensure efficient and effective communication while supporting the administration staff in church operations. The role combines general office administration, receptionist duties, volunteer coordination, and membership support throughout the daily office duties. Sunday is a typical workday in this role, supporting the parishioners and visitors who attend Worship services. The position is a full-time, exempt, salaried, working Monday through Thursday, 8:00 AM to 4:30 PM, in-person and Sundays from 7:00 AM to 1 PM. They will report directly to the Executive Director in accordance with the employee manual.

Receptionist Duties:

Greet visitors, members, and guests in a professional and welcoming manner. Answer, screen, and direct incoming phone calls and emails. Provide accurate information about programs, services, events, and membership. Maintain a tidy and welcoming reception area. Handle visitor sign-in and security protocols as needed. Provide support with hospitality, room arrangement, and tech needs.

General Office Administration:

Monitor and replenish office supplies; coordinate purchases with vendors. Sort and distribute mail; manage shipping and deliveries. Coordinate building access, signage, and basic campus coordination. Maintain organized filing systems, both physical and digital. Arrange for equipment maintenance and facility repairs as needed.

Administrative Support:

Assist staff with document preparation, formatting, scanning, and filing. Assist with the Money Counting process to ensure accuracy for patron giving. Track weekly attendance from in-person and online. Input attendance in

REALM CRM.

Provide reports from CRM database as needed. Generate attendance charts and comparisons for year-to-year comparison and evaluation. Work directly with Lay Leaders to assist with Church initiatives.

Volunteer Support:

Recruit, train, and empower volunteers, ensuring they are well-prepared and supported in their roles as related to reception and front desk coverage. Maintain volunteer contact lists and schedules. Assist in coordinating volunteer onboarding and communication. Support volunteer events, training sessions, and appreciation activities. Act as the main point of contact for all volunteers.

Membership Coordination:

Respond to inquiries about membership benefits and registration. Process new memberships via individual Pathways through Church CRM. Maintain accurate membership records and contact information. Assist with all inquiries about member records, purchases, giving, and pledges. Prepare and distribute membership welcome packets and onboarding documents. Coordinate member mailings, appreciation efforts, and event support. An active liaison to the Membership and Growth Committee. Resource needs of the Membership and Growth Committee. Organize or assist with New Member Luncheons, Orientations, New Member Potlucks, and Joining Sundays.

Communication & Outreach:

Assist in producing newsletters, flyers, and promotional materials. Update mailing lists, contact databases, and directories. Assist with outward church publications such as writing press releases, NEXT development, and weekly bulletins and eblast. Assist with the organization of Sunday Worship needs. Prepare Minister’s binders and prepare Chanel with water cups. Manage the Fellowship table and keep sign-up sheets and event offerings up-to-date. Coordinate Chancel Flower dedications and orders on a weekly basis. Participate in the Live-stream chat with members joining virtually on Sunday mornings. Communicate prayer requests and relevant information to the ministry teams. Other Duties as Assigned Perform additional tasks and responsibilities as directed by the Executive Director or Clergy Team to support the overall mission and operations of Naples UCC. Take the lead on special projects as assigned by the Clergy Team and Executive Director. Qualifications Strong interpersonal skills and a professional demeanor when interacting with clients and colleagues. Excellent interpersonal, verbal, and written communication skills. Proven experience in an administrative role or similar position. Prior experience in administrative, receptionist, or customer service roles. Strong clerical skills with attention to detail and accuracy. Highly organized and able to prioritize tasks effectively. Excellent organizational skills with the ability to prioritize tasks effectively. Proficient with Microsoft Office Suite and comfortable with database systems. Ability to work independently and as part of a team. Bilingual abilities are a plus, enhancing communication with diverse clients.

Preferred Qualifications:

Experience in nonprofit, membership-based, or community-oriented organizations. Familiarity with volunteer management and/or membership CRM platforms. Event coordination or communications experience is a plus. REALM database management certification a plus.
