Hourly/Nonexempt Overview The Office Assistant assist the Principal, Admissions Director and Staff in the smooth operation of the school. This role is responsible for upholding the policies and guidelines of the Diocesan Department of Education, and the philosophy and objectives of St. Elizabeth Seton School and aids in the Catholic Christian formation of the students.
Responsibilities:
Answers, screens and handles incoming telephone calls in a professional and courteous manner. Fosters communication and works collaboratively with office staff and faculty. Greets visitors and directs them to the appropriate department/individual. Creates and maintains volunteer hours and files. Be knowledgeable of school rules and school events. Maintain attendance records and inform faculty of daily attendance. Maintains and updates information in student information system. Assist the Admissions Director with processing paperwork. Attend to the needs of visitors to the school office; maintain reception area. Receive payments, notes, scrip orders, etc. and disseminate to appropriate staff. Assists with preparing deposits and counting of monies for bank deposits as needed and instructed by Admissions Director. Prepares mailings when applicable. Creates a variety of documents using PC-based word processing software. Organizes Academic Awards certificates including honor roll. Assists with finance department activities as needed. Coordinates contact with lunch providers for students as needed. Responsible for printing and maintaining current class rosters for faculty as needed. Other duties as assigned.
Requirements:
High School Diploma or equivalent 1-3 years related experience as Office or Administrative Assistant Ability to maintain confidentiality Excellent interpersonal skills Excellent communications skills, verbal and written Must be a self-starter; well organized; excellent multi-tasker, able to prioritize to meet deadlines Ability to work collaboratively in a team environment Proficiency in computer technology to include Microsoft Suite and internet research
