Part-time, Non-exempt, hourly This is a fully in-person position with no opportunities for remote work. This role requires a two-day commitment on Thursday & Friday from 9:00 am – 5:00 pm. The Impact of This Position Be the welcoming first voice that connects community members to essential resources and support. In this vital role, you’ll handle incoming calls to The Shelter while managing essential office task operations that keep our mission moving forward—from maintaining the donor database and crafting meaningful thank-you letters to generating basic impact reports for in-kind and monetary contributions. Non-Negotiables Education and Experience High School Degree or equivalent experience. Certifications and Training Completion of First Aid and CPR certification. Successful completion of The Shelter’s Core Competency training upon hire. Essential Functions Answer incoming telephone calls 2-3 times weekly during business hours (9:00 a.m. – 5:00 p.m.) Assist with donation receiving and sorting operations as needed. Generate and customize thank-you letters based on donation type and appropriateness. Maintain accurate donor database with timely entry of all contribution information. Maintain and update reception area procedure manual. Maintain office equipment including copier, fax machine, and postage meter.
Manage daily mail operations:
retrieve from Post Office, distribute incoming mail, process and deliver outgoing mail. Organize and maintain donor files and database procedure manual.
Oversee office supply management:
verify deliveries against orders, organize inventory, and maintain adequate stock. Process in-kind donations including sorting donated cell phones and coordinating shipments to wholesalers. Proofread documents and correspondence as requested. Provide administrative support to development staff on various projects and assignments.
