Position Overview:

We are seeking a detail-oriented and organized individual to fill a hybrid role as a Permit Technician and Administrative Assistant. This position is crucial to our operations, ensuring the smooth processing of permits and providing comprehensive administrative support to our team. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to manage multiple tasks efficiently.

Key Responsibilities:
Permit Processing:

Receive, review, and process various permit applications for completeness and basic compliance. Maintain organized digital and physical permit files and records. Coordinate and schedule inspections as needed. Serve as a primary point of contact for applicants, contractors, and the public regarding permit status, requirements, and general inquiries. Assist with research related to permits, zoning, and basic code questions.

Administrative Support:

Answer and direct phone calls, take messages, and manage email correspondence. Perform general clerical duties, including data entry, typing, scanning, copying, and filing. Schedule appointments and maintain calendars. Assist in preparing reports, memos, and other documents. Order and maintain office supplies. Provide general administrative support to ensure efficient office operations.

Qualifications:

High school diploma or equivalent; associate’s degree or relevant certification is a plus. Proven experience in an administrative role; experience as a permit technician or in a related field (e.g., construction, municipal government) is highly desirable. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines. Excellent verbal and written communication skills. Exceptional attention to detail and accuracy. Strong customer service orientation and interpersonal skills. Ability to work independently and as part of a team. Basic understanding of permitting processes is beneficial but not required for candidates willing to learn.
