Salaried/Exempt Overview Supports the parish mission by assisting the Pastor and Business Manager on all administration. Directs the front office and provides administrative support for the smooth operation of the parish. Job Responsibilities Oversees inventory of office supplies. Maintains the Church calendar, to include scheduling of all activities and celebrations in the Church, Chapel, and Parish Center. Maintains the parish database system, Parish Soft. Maintains parish records (i.e. marriages, baptisms, funerals, registrations, columbarium). Maintains and completes record keeping required by the Diocese and universal Church. Prepares the parish bulletin, with coordination of the Business Manager Maintains parish offering envelope system Coordinates funerals with family, funeral homes and parish support ministries/groups. Prepares and maintains the Mass intentions. Coordinates Baptisms to obtain information, communicate policies and schedule clergy Request Speaker Approval/Faculties for all guest speakers and visiting clergy Coordinates and supports special Masses and events Prepares Intercessions and Announcements for weekend Masses Schedules and helps facilitate the annual staff retreat Participates in ongoing professional development Manages the priest emergency on call schedule Drafts the priest Mass schedule for approval by the pastor Coordinates projects with the reception and administrative assistants Provides administrative assistance to ministry, council and committee leaders and staff, as needed. Requirements:
Bachelor’s degree and a minimum of 2 years of experience in a position with similar job duties and responsibilities, preferred. Effective communication skills in oral and written form. Proficient with personal computers, word processing and database management. Strong interpersonal skills. Experience handling confidential, sensitive, timely and critical matters using good judgement, respect and discretion. Ability to work independently, prioritize tasks and achieve deadlines
