Job Description
Part-Time Administrative Assistant (Ibis Cove HOA) Advanced Property Management 8120 Logan Way, Naples, FL 34119 Advanced Property Management is searching for a well-organized, hard-working, Administrative Assistant to join our team. This part-time position is for an on-site Administrative Assistant at a beautiful gated community located in North Naples. You will work directly with the Community Association Manager (CAM) and the Board of Directors to implement policies and procedures to ensure the services required to maintain the common elements of the Association are provided in a first-class manner and by following community rules and regulations. The Administrative Assistant is responsible for providing clerical and administrative support to the Community Manager. The Assistant Community Manager is the liaison to the Community Manager and homeowners primarily, but will also occasionally interact with vendors, board members, and committee members, as well as staff at the Advanced Property Management office. Job Duties and Responsibilities Duties include but are not limited to: Field and respond promptly to homeowner inquiries via phone, e-mail, work order, letter, and/or in person. Interact with vendors and assist with addressing emergency requests as necessary. Work with the Community Manager to complete and manage maintenance needs at the community. Assist in preparing agendas, update management reports, and compile documents and copies for Board meeting packages. Prepare newsletters, flyers, and other various documents to inform homeowners of maintenance service or projects, activities, meetings, etc. Maintain property files and owner’s files. Issuing key fobs and gate stickers to owners and tenants. Assist Community Manager with ARC application processing and perform on-site community inspections as necessary. Assist Community Manager with requests for proposals, repair quotes, insurance notifications. Assist homeowners with Advanced Property Management corporate programs (website, portals, etc.) including client enrollment. While the list above is an extensive list of job responsibilities, it is expected that the individual in this position is hands on and flexible in performing, assisting, and/or supervising any necessary task that is requested by our client and/or the management agent. Other duties as assigned.
Requirements:
Candidates that have the desire and ability to obtain Florida Community Association Manager License (LCAM) are preferred. Industry experience is a plus Associate’s degree preferred Ability to work in a fast pace environment Professional customer service skills Exceptional communication skills both written and verbal with a polished, professional and friendly demeanor Demonstrated proficiency with current Microsoft Programs (Word, Excel, Outlook, etc.) Knowledge of conflict resolution techniques at a proficient level Self-motivated, proactive, detail-oriented and a team player Time management and time-critical prioritization skills.
