Full Job Description Administrative Assistant Position Summary:

We are seeking a dedicated and detail-oriented Administrative Assistant to join our dynamic accounting team. The successful candidate for this job is resourceful, a good problem solver and organized. This role requires excellent communication skills, strong organizational abilities, and a customer-focused mindset.

Key Responsibilities:
Accounting Support:

Data entry for accounts receivable, verifying inventory management system in Sage, communication with customers regarding collections and invoice follow-up, identify discrepancies, resolves billing issues and ensures appropriate personnel is aware of inventory supply chain delays.

Customer Support:

Provide phone support to customers and vendors and monitor customer accounts to identify and follow up on overdue payments. Responsible for processing new customer credit applications and track through final approval.

Manage Customer Inquiries:

Handle customer inquiries related to billing support and invoice requests. Provide prompt and courteous responses, ensuring customer satisfaction.

Production Support:

Data entry for weekly production counts, printing open orders on a weekly basis, assisting with shipping orders as needed, communicating with plant management on incoming shipments of inventory.

Miscellaneous:

Communicate any matters or concerns to janitorial company, answer incoming calls, sorting and distributing mail

Qualifications:
Education:

Associate’s degree in Business Administration, or a related field is preferred.

Experience:

Minimum of 2 years of experience in a administrative support or similar role, preferably within a commercial or business-to-business environment.

Skills:

Detail-oriented with a high degree of accuracy. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Ability to work independently and as part of a team. Ability to be flexible and support opportunities as they arise.
