GENERAL DESCRIPTION

This position has two areas of responsibilities: Assist on the organization and coordination of the ECS central office and/or Skylark building operations and procedures and resources for organizational effectiveness and efficiency. The Administrative Assistant II provides administrative project support to the Head Start Director & Head Start Support Staff.

MAJOR RESPONSIBILITIES OF ECS CENTRAL OFFICE AND/OR SKYLARK BUILDING

Provides back-up support to Office Assistant when necessary. Oversee Central Office related services involving maintenance & repairs, janitorial services, copy machines, shredder, mailing equipment, etc.

MAJOR RESPONSIBITIES OF ADMINISTRATIVE PROJECT SUPPORT

Develop and maintain centralized reference files & filing system for the department. Resolve all incoming tasks requested thru Help Desk. Assist with the organization and implementation of special events, trainings & meetings. Assist with pre-service and in-service training as needed. Organize and maintain all materials for Policy Council meetings. Schedule and communicate appointments and meetings as requested. Coordinate orders for Head Start support staff as needed. Record minutes of meetings, as required. Coordinate all travel arrangements for conferences (hotels, travel, etc.) Order food for events and meetings. Order HS/EHS staff business cards and name badges. Make all credit card purchases. Coordinates cell phone assignments in conjunction with IT staff. Attend conferences and workshops in alignment with program duties. Coordinates car assignments for ECS vehicles. Ensure proper background clearances have been obtained via HR. Cover phone lines and reception area as needed. Provide general administrative support to the Executive Assistant as needed. All other duties as requested by the Manager of Administrative Services, Director of HS/EHS and the Chief of Center Operations. Provide general administrative support to the Executive Assistant as needed (quarterly contract maintenance, ECS timeline, etc.). EDUCATION AND EXPERIENCE

Associates degree preferred with 2 years related administrative experience

Strong knowledge of Microsoft Word, Excel, and Outlook. Ability to communicate effectively both orally and in writing Ability to maintain confidential information. Ability to communicate, demonstrate and train others. Ability to plan and organize work as well as maintain records and prepare reports. Self-starter with the ability to perform with little direct supervision.

LICENSES, CERTIFICATION OR REGISTRATIONS

Valid driver’s license. Complete 15 hours of in-service / professional development training hours each fiscal year (July-June.
