Position Summary:
The purpose of this position is to perform administrative dutiesfor the Vice President. This position involves advancedadministrative activities and projects, as well as coordinationwith the Vice Presidents’ direct reports, internal staff, andexternal parties. This position maintains and updatesresource-related databases for the Vice President. This positionalso coordinates team meetings with management, including roompreparation and the use of video/electronic equipment.
Essential Functions:
The following are the usual, basic and essential functions of theposition. These functions are not to be construed as an exhaustivelist of all responsibilities, duties, and skills required. ? Model ethical behavior and execute job responsibilities inaccordance with core values, ethics, and information protectionpolicies ? Answer and respond to phone calls and emails ? Organize, file and maintain corporate documents, records andreports ? Maintain calendars; Schedule and/or coordinate appointments,meetings, conferences, and other activities ? Create, copy and distribute forms and documents ? Compile data, create and maintain spreadsheets, databases, andmeeting agendas/minutes ? Analyze data and prepare reports ? Monitor routine departmental administrative tasks (e.g.,Quarterly Accomplishments, Monthly Resource Utilization) to ensuretimely completion. Follow up on any outstanding items. ? Coordinate travel arrangements ? Create, process and keep records of the Vice President?s expensereports ? Coordinate with the HR Department ? Provide backup administrative support for management asappropriate ? Assist the Enterprise Architecture team with administrative taskssuch as scheduling, tracking tickets, and generating meetingagendas/minutes
Required Knowledge, Skills, and Abilities:
? Advanced computer literacy in Word, Excel, PowerPoint andOutlook ? Analytical and quantitative skills ? Ability to review and evaluate data for accuracy andcompleteness ? Strong organizational, prioritization and multiple-task handlingskills ? Strong interpersonal and communication skills, both verbal andwritten ? Ability to work independently and to use problem-solvingtechniques
Required Education:
? Associate degree OR 2 years relevant experience OR a combinationof college education and relevant experience equivalent to 2years
Preferred Education & Skills:
? Bachelor?s degree OR 4 years relevant experience OR a combinationof college education and relevant experience equivalent to 4years ?
Bilingual Physical Requirements:
? This position requires the ability to sit for long periods oftime, hear/converse over the telephone, and key frequently on acomputer (4 or more hours daily).
