GENERAL DESCRIPTION
Provides administrative project support to the Office Administrator; performs all switchboard functions, receive guests and separate daily mail.
MAJOR RESPONSIBITIES
Answer multi-line phone lines. Gives accurate and pertinent information. Warmly welcomes staff, parents, and visitors upon arrival and departure, ensuring each individual receives courteous and professional attention at all times. Checks voice mail in general mailbox and relays messages to appropriate staff. Keeps office areas neat and organized. Maintain clean, inviting space for visitors Receives and distributes all mail, packages and deliveries. Prepares packages for delivery via Fed-Ex. Coordinate transfer and disposal of records as per the retention schedule and policies are carried out effectively. Schedule all events on our conference/training rooms. Assist with monitoring and maintaining office & cleaning supplies inventory. Help maintain all copiers – change toner, clear jams, and basic support. Make mail boxes for new employees. Assists in the coordination of office related contracts & services involving maintenance & repairs, janitorial services, copy machines, mailing equipment, etc. Assist with the organization and implementation of special events. Assists applicants/clients with paperwork prior to scheduled interview or LiveScan. Screens calls for CEO in absence of Executive Assistant. Assist administrative services in performing duties necessary to maintain the success of ECS. Stays up to date with CCRR guidelines related to client phone interactions and ensures full compliance. Requirements:
EDUCATION AND EXPERIENCE
High School Diploma or GED with related experience required.
SKILLS, KNOWLEDGE AND ABILIITES
