What You’ll Do:

The Office Coordinator will serve as primary front office representative, greeting and assisting visitors, to include vendors, company visitors, and deliveries. Handles incoming calls and ensures a professional and welcoming office environment. Responsible for cleaning and stocking the breakroom to ensure it remains a functional and pleasant space for staff. Maintains the mail room to include, retrieval and processing of all mail and packages, sending of all requested mail, and contact for vendors associated with the mailroom. Serves as the main contact for property management and building maintenance requests. Completes maintenance requests tickets, contacts property management for building maintenance or facilities related items. Orders office supplies and equipment. Orders company breakfast and lunch for company meetings, events, activities Supports the Leadership team with coordinating company meetings, events, activities. Accurately answers inquiries from agents, policyholders and other entities related to billing, payments, and policy forms, via various communication channels. Learns and understands company insurance products and processes/procedures. Assists with all inquiries/needs/requests for service in a warm and friendly manner, written and verbally Inputs all necessary policyholder and/or loss information into system, including Workflows, Endorsements and First Notice of Loss. Timely dispatches new claims to the appropriate unit on a rotational basis, as needed/required. Processes incoming and outgoing documentation and correspondence including Workflows, USPS mail, faxes, and emails. Follows company policies and procedures for business activities and equipment. Identifies, resolves and/or escalates problems in a timely manner as required. Assists in filing, data entry, paying invoices and archiving documents for the Claims Team. Available to work outside of normal business hours for catastrophic events as it pertains to the business.

What You’ll Bring:

High School Diploma or GED 1+ years of experience in policy services or customer service 1+ years of administrative experience Computer skills to include Microsoft Office Strong communicative skills and a collaborative spirit Ability to obtain, organize, and explain information Must be able to lift up to 25lbs.
