Position Overview:

As an Office Administrator / Scheduler, you’ll be one of the first points of contact for our clients. Your professional demeanor and strong communication skills will leave a lasting impression. You’ll also be handling a variety of support activities and administrative tasks, so a proactive, “can-do” attitude is essential for success.

Key Responsibilities:

Serve as the first point of contact for clients, answering calls with professionalism and empathy Schedule and dispatch technicians efficiently to ensure smooth operations Coordinate work orders and make outgoing calls to confirm job details and availability Process work order billing and payments accurately Provide general clerical and office housekeeping support Maintain a high level of organization with a strong attention to detail Ensure timely and accurate communication both verbally and in writing Assist with on-call support one weekend per month to dispatch teams for urgent or emergency requests (time will be compensated)

Skills & Experience:

Minimum of 3 years of office administration or support experience Proficient in Google Workspace and Microsoft Office (Word, Excel, etc.) Experience in scheduling or dispatching is a plus Prior experience in the plumbing, construction, or a related industry is required Strong organizational skills and the ability to multitask in a fast-paced environment Excellent communication skills, both written and verbal Ability to prioritize tasks and manage time effectively Must have reliable transportation and be willing to run errands within the city (mileage reimbursement provided)

Self-starter with the initiative to solve problems and anticipate needs Must be flexible and comfortable with a dynamic, fast-moving environment
