Service Administrator Southern States Material Handling Jacksonville, FL 32254 Southern States Material Handling | Service Department – This role will be located in Orlando , Winter Haven and or our Lakeland branch. Are you an organized, detail-oriented professional with a passion for keeping operations running smoothly behind the scenes? Southern States Material Handling is looking for a skilled Service Administrator to support our Service Department and help us continue to lead the way in the material handling industry. In this vital role, you’ll take ownership of a wide range of administrative responsibilities that ensure our service operations stay efficient, timely, and customer-focused. Key Responsibilities Accurately process and enter technician timecards daily Perform audits on technician timecards and GPS reports, providing updates to branch management as needed Communicate updates and process changes to technicians in coordination with Service Management Review and process work orders throughout the day for grammar, accuracy, correct parts, and labor pricing Reference service history and account notes to ensure accurate and timely billing Create and verify invoices for all incoming work orders; ensure billing is completed daily Submit purchase order requests and assist with warranty claim submissions (OEM, PWARR, SWARR) Prioritize daily tasks and deadlines effectively Collect COD payments and assist in setting up new customer accounts Support Service Manager and Director of Service with additional administrative tasks as assigned Qualifications Strong written and verbal communication skills Highly organized with excellent attention to detail Motivated self-starter who thrives in a collaborative environment Ability to multitask and meet multiple deadlines in a dynamic setting Preferred Experience & Education Some college education preferred Previous experience in dispatch or service coordination is a plus At Southern States Material Handling, you’ll be part of a supportive team committed to delivering top-tier service in a fast-growing industry.
