Job Description
Description We are looking for a reliable and detail-oriented Administrative Assistant to join our team in Pensacola, Florida. This long-term contract position involves supporting office operations, assisting tenants, and ensuring smooth communication and administrative processes. You will play a key role in delivering exceptional customer service and maintaining a welcoming environment for tenants and visitors.
Responsibilities:
- Serve as the primary point of contact in the office, answering inbound and outbound calls and addressing tenant inquiries.
- Resolve tenant concerns effectively, escalating issues as necessary while maintaining a calm and detail-oriented demeanor.
- Conduct guided tours of residential properties for prospective tenants, showcasing available units.
- Manage office administrative tasks, including scheduling appointments, data entry, and email correspondence.
- Utilize property management software, such as Yardi, to update tenant records and maintain accurate documentation.
- Collaborate with other staff members on-site and remotely to ensure smooth property operations.
- Assist with collections functions and follow up with tenants regarding payments as needed.
- Maintain security protocols as a key holder, ensuring proper logins and access procedures within the office.
- Uphold a business casual dress code while providing excellent customer service to tenants and visitors.
- Support leasing activities and administrative proceedings, ensuring compliance with property management regulations. Requirements
- Minimum of 5 years of experience in administrative roles, customer service, or property management.
- Strong conflict resolution skills and the ability to handle tenant concerns professionally.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience with property management systems, such as Yardi, is highly preferred.
- Exceptional communication skills, both written and verbal, to effectively correspond with tenants and staff.
- Demonstrated ability to manage multiple tasks efficiently and independently in a fast-paced environment.
- Trustworthy and reliable, with the ability to work autonomously as the sole office employee.
- Familiarity with residential property management and leasing procedures is a plus.
