Administrative Assistant Sapphire Gardens Pensacola, FL 32506 An Assisted Living Receptionist greets visitors, answers phones, and provides administrative support, acting as a first point of contact for residents, their families, and staff. They create a welcoming and organized environment by managing appointments, handling inquiries, and coordinating communication. They also perform light clerical duties and ensure building security.
Key Responsibilities:
Greeting and Assisting Visitors:
Welcoming residents, visitors, and staff with a friendly and helpful attitude, providing information about the facility.
Answering Phones and Managing Inquiries:
Handling incoming calls, taking messages, and directing calls to the appropriate staff.
Scheduling Appointments:
Assisting residents with scheduling appointments with healthcare professionals or other services.
Mail and Package Handling:
Receiving, sorting, and distributing mail and packages.
Maintaining Records:
Keeping accurate records of visitors, deliveries, and appointments, and updating resident information.
Administrative Support:
Assisting with tasks like data entry, filing, and preparing documents.
Ensuring Building Security:
Monitoring visitor access and maintaining a safe and secure environment. Coordinating with
Staff:
Communicating with healthcare staff regarding resident needs and relaying information to relevant parties. Creating a
Welcoming Atmosphere:
Providing a positive and helpful first impression for everyone entering the facility.
Following Policies and Procedures:
Adhering to the facility’s established policies and procedures.
