EXAMPLES OF DUTIES

Supervision of full-time county staff by prioritizing and assigning work, conducting performance evaluations, ensuring staff are trained and follow policies and procedures, maintaining a healthy and safe working environment, and making hiring, termination, and disciplinary recommendations Coordinates and maintains supervisor’s calendar and schedules; coordinates meetings; may attend meetings to take minutes; may transcribe and disseminate meeting minutes Confers with management to inform them of key issues and developments and obtain pertinent information Serves as a liaison with other internal departments, citizens, and/or external agencies in order to exchange information, provide advice, solve problems, and maintain cooperative and efficient relations Reviews communications sent to Director in assigned area of responsibility and drafts appropriate responses to a variety of inquiries Prepares, organizes, and coordinates recommendations, budget amendments, ordinances, resolutions, fee schedules, and/or other supporting data to be presented at public hearings and/or meetings Financial responsibilities include creating and monitoring yearly county budget; reconciling & tracking expenditures of five UF fund accounts relating to our county; & assisting 4H clerk in creating 4H Foundation yearly budget & monitoring expenditures within Serve as clerk to County Extension Council, to include scheduling meetings, disseminating council materials, taking & transcribing meeting minutes, monitoring council openings as they occur, and other Council duties as needed. Meetings are held after hours Attend 4-H Foundation Board meetings, assist 4-H clerk with transcription of minutes, & other Foundation duties as needed. Meetings are held after hours Schedule monthly staff meetings, prepare & disseminate agendas, take meeting minutes & transcribe for staff review Prepares, reviews, processes, analyzes, and maintains a variety of information, data, forms, applications, agreements, and/or reports related to departmental operations and/or personnel Conducts research and assists in preparing a variety of technical, statistical, and narrative reports, correspondence, and/or other written documentation Responsible for completing all required training courses through UF with regard to Finance & Travel Coordinates travel arrangements by making reservations, confirming itineraries, and preparing and submitting payment travel vouchers for reimbursement Performs other duties of a similar nature or level

Minimum Qualification Requirements:
Training and Experience:

Associate degree or two-year technical certificate and at least two years of administrative or management experience in a government setting; or a combination of education and experience equivalent to these requirements.

Licenses and Certifications:

Must possess a valid driver’s license from state of residence Notary Public license must obtain within six months of hire Knowledge, Skills, Abilities, and Other Characteristics (KSAOs): supervisory principles basic mathematical concepts rhetorical, oratorical, and grammatical theory and practices modern office procedures modern office equipment applicable Federal, State, and local laws, rules, regulations, codes, and/or statutes public relations and customer service principles data collection and analysis techniques using computers software applications: Adobe Pro-editing pdf documents, Excel, WORD, PowerPoint, and QuickBooks prioritizing work providing customer service compiling data and information preparing documentation and correspondence interpreting and applying policies, procedures, and guidelines writing and editing documents keyboarding interpreting and applying applicable laws, rules, and regulations conducting research preparing and proofreading written materials maintaining records, files, and other related documents and electronic files compiling and analyzing data and information interpreting and applying policies, procedures, and guidelines performing
