Administrative Office Secretary Mt. Calvary Baptist Church of Palm Coast Palm Coast, FL 32164 Job Summary We seek highly organized and detail-oriented Secretaries to work in our Administrative Office . The ideal candidates will be responsible for providing administrative support, managing front desk operations, and ensuring smooth office functionality. This role requires excellent communication skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently and confidentially. Responsibilities Greet visitors and manage front desk operations with professionalism and courtesy. Handle incoming calls, emails, and correspondence, ensuring effective communication with clients and staff. Manage calendars, schedule appointments, and coordinate meetings as assigned. Maintain organized filing systems and assist with document preparation and data entry tasks. Provide administrative support to various Church Ministry departments as needed, including clerical tasks such as typing and record keeping. Assist in maintaining office supplies inventory and placing orders when necessary. Ensure confidentiality of sensitive information while adhering to company policies. Input and track financial data and produce reports, track employee hours for payroll processing, work closely with external bookkeeper, and produce financial reports, as assigned. Create flyers for special events as assigned. Skills Proven experience in an administrative role as secretary is required; experience with database management and producing financial reports highly preferred. Strong organizational skills with the ability to prioritize tasks effectively. Excellent customer service skills with a friendly demeanor. Proficient in calendar management and scheduling software. Strong phone etiquette and communication skills for effective interaction with clients and colleagues. Ability to multi-task and work independently as well as part of a team, demonstrating flexibility in a dynamic environment. Familiarity with website updates and proficiency with Microsoft Office (Word, Excel, Powerpoint, Outlook), desktop graphics and publishing highly preferred. HS Diploma/GED required; college a plus.
