DESCRIPTION
: The Administrative Assistant is tasked with monitoring and maintaining the operational department of the organization. In terms of growth and sustainability, the Administrative Assistant will work with the Executive Director in making decisions concerning the day-to-day operation of the organization. This position also works closely with the Finance Department.
ESSENTIAL DUTIES
: Oversee and conduct duties necessary with regards to scheduling donation pick-ups Respond to all phone, email, and personnel inquiries in a timely and professional manner Act as liaison with outside agencies for donations, information, and community involvement Work with the Executive Director on the daily operation of the organization, as well as the future growth of the organization Consulting with the finance department, ensuring costs are kept to a minimum, utilizing community groups when applicable Responsible for creating and scheduling the release of the monthly email-newsletter Ensure the office is it work-order and safe/secure Monitor office supply levels and order materials on an as-needed basis Work with Case Management department with regards to shelter needs and community partners Acting on behalf of the executive director in their absence Responsible for the general administrative operation of the organization Work with Executive Director on all capital campaign endeavors Ensure the operation is running smoothly and efficiently, discussing any current and foreseen obstacles with the Executive Director Research, review, and apply for grants Ensure reporting is completed for grants in the timeline given Occasionally attend networking and speaking events Complete other duties assigned by upper-management
MINIMUM REQUIREMENTS

Must have a high school diploma or GED Must have minimum of three years experience working in related responsibilities’ positions (non-profit preferred) Must have proficient knowledge in Microsoft Office, Outlook, Excel or similar Must have excellent written and verbal communication skills Ability to work independently In a fast paced environment Must have strong organizational skills and attention to detail Must have full availability and be able to work days, evenings, nights, weekends, and holidays
KNOWLEDGE / SKILLS / ABILITIES
: Ability to read, write and speak English (multi-lingual a plus). Ability to understand, follow and give written and oral instructions. Basic IT knowledge Analytical and communication skills Unmatched attention to detail as you’ll be preparing detailed reports for multiple agencies Ability to deal with stressful conflicts involving groups of people, individuals, and co-workers. Ability to work harmoniously with fellow employees and guests. Ability to work outdoors including intense or inclement weather conditions. Abilities (
