This role ensures smooth operations through effective scheduling, travel coordination, internal communication, and functional and general team support.
Duties/Responsibilities:
Front Desk & Office Environment Greet customers and prospects at AWC’s front desk. Ensure the office is organized and presentable at all times for customer visits, trainings, and meetings. Coordinate with the cleaning and maintenance team and other departments to maintain a clean and welcoming office environment. Pick up and deliver mail, packages, or supplies as needed. Order and maintain office and team supplies, including regularly restocking items such as coffee, water, and snacks. Organize and place food orders for internal meetings, custom events, and marketed-hosted events. Sales & Marketing Support Assist the Marketing and Sales teams with material printing, signature collection, notarization, and other related tasks. Support the onboarding of new sales team members with desk setup, supply requests, etc. Maintain organized inventory of AWC-branded clothing, marketing literature, giveaways, and event supplies. Coordinate business card orders using approved templates. Manage inventory and ordering of branded apparel. Pull and prepare signage, literature, and giveaways for upcoming tradeshows and events. Maintain organized filing systems (digital and physical) for sales documents and records. Administrative & Team Support Provide administrative support, including calendar management and meeting coordination. Schedule and arrange travel and accommodations for team members. Assist with expense tracking and reporting. Prepare basic reports, agendas, and meeting notes when required. Respond to internal and external inquiries with professionalism and accuracy. Other duties as assigned.
Qualifications:
High school diploma or equivalent required; Associate’s degree preferred. 2+ years of administrative or office support experience, ideally supporting a fast-paced team Strong verbal and written communication skills. Excellent organizational skills and attention to detail. Proactive and resourceful; able to manage multiple tasks with minimal supervision. Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems. Friendly, helpful attitude and a willingness to support team members. Valid driver’s license and reliable transportation for occasional errands.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer. Occasional standing, walking, and lifting up to 25 pounds. Ability to run local errands as needed.
