Assistant for Trade Partner Administration Job Description This role involves assisting in the preparation and administration of Trade Partner documents, including contracts and insurance, related to construction projects. The position requires securing necessary approvals and ensuring adherence to standard company procedures. The assistant will establish and maintain Address Book Records (ABR) forms and support documents for accuracy in creating and maintaining vendor files. Responsibilities + Obtain required documents from trade partners and divisions to complete the Master Trade Partner Agreement (MTPA) and Address Book Records (ABRs). + Ensure trade partner insurance compliance by collecting necessary documents. + Create and maintain ABR for non-trade partner and Trade Partner search types. + Prepare MTPA and gather required approval signatures using DocuSign. + Verify that all received documents are filled out properly and completely. + Log and maintain contract documents in designated areas. + Manage placement and removal of contract and insurance holds on Address Book Records (ABRs). + Escalate any deficient, long outstanding, or queries regarding MTPAs or Insurance to management. + Assist divisions with contract negotiations and maintain change addendums to MTPAs. + Perform all other duties as assigned. + Set up and maintain address book revisions using JD Edwards. + Maintain trade partner documents, exhibits, and insurance compliance. Essential Skills + High School Diploma or GED required. + Previous experience with contracts, administration, or related areas preferred. + Intermediate skills in Microsoft Office including Outlook, Word, and Excel. + Previous experience using Box, Docusign, ServiceNOW, or other third-party insurance compliance platforms. + Exceptional communication skills (oral and written). + Attention to detail and the ability to spot errors and inconsistencies. + Professional attitude to represent the company positively. + Excellent reading and language comprehension. + Ability to work with a team at all levels of an organization. Additional Skills & Qualifications + Spanish bilingual is a plus. + Past experience managing vendor contracts. + Experience collecting certificates of insurance. + Analytical skills and data integrity. + Experience with document control and administrative support. Work Environment This is an onsite position with working hours from either 8 AM to 5 PM or 9 AM to 6 PM, Monday through Friday. The office environment is a cubicle-style setting located near International Mall and the Airport. Associates will report to the person based out of Miami. Pay and Benefits The pay range for this position is $20.00 – $20.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
