As an administrative assistant you would be responsible for helping some of our financial advisors fulfill high quality service to our clients. Position Overview The Administrative Assistant will play a vital role supporting our Financial Advisors who work with clients to achieve their financial goals. This role is critical to ensuring all clients feel welcome and receive exceptional service in all interactions with the firm. You will collaborate with Advisors, Home Office personnel and business partners to help fulfill client requests.

Responsibilities:

Client and Account Servicing 1. Answer client phone calls 2. Assist clients with inquiries regarding

  • Beneficiary changes
  • Account balances
  • General questions about account
  • Form requests 3.

Perform research in order to answer questions 4. Keep financial representative informed of any client issues and ensure that more complex questions are referred to the financial representative promptly. Convey information back to clients when appropriate 5. Ensure that sales opportunities are forwarded to the financial representative 6. Arrange and confirm appointments 7. Make courtesy calls to clients to establish contact Appointment Preparation 1. Prepare client information

  • Prepare appointment agendas
  • Create and print account reviews
  • Complete paperwork needed during the appointment 2.

For accounts not networked, make calls to the necessary fund, annuity and life insurance companies to get account information as well as any policy information (including premium amount and frequency, death benefit, beneficiaries, etc.). Some of this may also be gathered on the company’s website. Post Appointment Follow Up 1. Create summary correspondence based on financial representatives meeting with client 2. Send any additional paperwork to client Paperwork 1. Complete all paperwork and send to client or provide to financial representative for client appointments 2. Review paperwork for accuracy and submit to Lincoln’s home office for processing 3. Follow up on submitted paperwork and work with home office to resolve any problems that may occur Other Advisor / Client Related Tasks 1. Draft correspondence. Ensure proper disclosure language is contained in the body of the letter and submit correspondence for compliance approval 2. Maintain financial representative calendar 3. Document client interactions, recommendations and notes in electronic client file 4. Prepare and mail quarterly account reviews to clients 5. Quarterly mailings and greeting cards 6. Seminar preparation

  • invitations, RSVPs, give-aways 7.

Ensure marketing campaigns/mailings are compliance approved 8. Help maintain a marketing events calendar and plan, and assist with marketing events as needed 9. Stay apprised of recent changes to industry and/or company rules and regulations 10. Other projects & tasks as assigned

Required Knowledge/Experience :
  • At least 2 years of previous experience in sales support
  • Investment/brokerage operations experience (preferred)
  • Customer service experience
  • Knowledge of mutual funds, ETFs, and retirement plans (preferred)
  • Microsoft Office 365 experience.

Education/Training:

Bachelor’s degree in a related field or the equivalent combination of education and/or experience preferred.

Physical/Other Requirements :

May sit at workstation for extended periods of time. May view computer screen for extended periods of time. Periods of fast pace are typical when meeting deadlines. Hours Full Time Position 8:30-5:30 M-F in the office. Business Attire. This position is NOT work from home eligible.

Compensation and Benefits Salary Range:

40k-55k (based on experience and knowledge) 401k with match Health Insurance (High deductible plan / HSA Eligible)
