We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This position is responsible for daily clerical duties, managerial follow-up on various directives, organizational duties, and supporting productivity and efficiency efforts for the Sales Team. The Administrative Assistant will also be responsible for documenting meeting minutes, data entry, scheduling, and keeping administrative functions in working order. The Administrative Assistant should be a highly motivated self-starter with a proactive approach and impeccable organization and attention-to-detail. The ideal candidate will be responsible for providing comprehensive administrative support, ensuring smooth office operations, and enhancing overall productivity. This role requires excellent communication skills, a strong ability to manage multiple tasks, and a proactive approach to problem-solving. Primary Job Duties Perform data entry tasks with accuracy and efficiency. Support team members with building and finalizing quotes, proposals, presentations, events, and other duties as needed. Update and order various client facing materials, sales collateral, and company ‘swag’ for gifts, raffles, and other events. Maintain accurate and updated client information in all systems. Send Welcome Emails to introduce new clients to the company. Coordinate sales initiatives with Marketing to align marketing campaigns with various products/services based on organizational and strategic goals. Assist in upselling and educating internal team members on various Sales Spiffs and upselling initiatives. Provide exceptional customer service by addressing inquiries and resolving issues promptly via phone, email, and in person communication. Manage Sales Team schedules and calendars, including coordinating internal and external meetings and organizing client/vendor visits when appropriate. Organize and file documents systematically for easy retrieval. Utilize computer software for various administrative tasks, including Microsoft Office 365 and internal software systems. Assist in proofreading documents to ensure clarity and correctness. Qualifications High school diploma required. Minimum of 1 year experience as an Administrative Assistant or in a similar role. Experience with legal contracts, quotes, or SLAs preferred. Strong data entry skills with attention to detail. Excellent customer service abilities and interpersonal skills. Proficient in office management practices and procedures. Proficiency with Microsoft Office 365 programs (Word, PowerPoint, Excel, Outlook) Strong proofreading skills to maintain high-quality documentation. Physical Requirements and Working Conditions:

Must possess the mobility to work in a standard office setting (on site or off), and to use standard office equipment, including a computer, concentration to maintain attention to detail despite interruptions, strength to lift and carry objects weighing up to 50 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and/ or over the telephone. Must be able to sit/stand for extended periods of time. Must be able to drive a motorized vehicle.
