Administrative Assistant – Real Estate Development
We have a temp to hire role for a highly organized and detail-oriented Administrative Assistant to provide crucial administrative support for our dynamic real estate development team. In this pivotal role, you will be instrumental in ensuring the smooth and efficient execution of our projects by managing schedules, coordinating meetings, and handling essential project documentation. Responsibilities:
Provide comprehensive administrative support, including managing complex schedules, booking travel, and maintaining team calendars.
Prepare professional reports and presentations for internal and external meetings.
Coordinate project meetings with external stakeholders, including contractors, architects, engineers, and city officials.
Meticulously track and update project timelines, key milestones, and critical deadlines.
Manage the submission of permits, zoning requests, and other regulatory documents, ensuring compliance and timely approvals.
Oversee the preparation and processing of contracts, change orders, and invoicing.
Assist with financial tracking by efficiently processing expense reports, invoices, and budget allocations.
Support cost analyses and the preparation of financial reports.
Act as a key liaison between the development team, external consultants, and vendors, facilitating effective communication and providing timely updates on project progress.

Have:
Associate’s or Bachelor’s degree in Business Administration, Real Estate, Urban Planning, or a related field is preferred.
3-5 years of administrative experience, ideally within the real estate development, construction, or property management industries.
Requirements:
Proven experience in providing high-level administrative support.
Exceptional organizational and time-management skills with a strong ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work independently and collaboratively within a team environment. Strong attention to detail and accuracy.
Experience in managing complex schedules and coordinating meetings.
Experience with permit submission processes, contract administration, and financial tracking is highly desirable.
