The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, maintaining organized records, and ensuring efficient office procedures. This position requires strong computer literacy and proficiency in various software applications, including Microsoft applications (Word, Excel, Outlook) Responsibilities Greet incoming clients, answer telephone, screen calls, and forward messages. Responsible for entering data, posting batches, filing and maintaining general ledger books. Maintain an organized filing system both physically and digitally to ensure easy access to important documents. Support team members with various administrative tasks. Process and deliver mail to office staff. Maintain postage machine and supplies. Responsible for auditing weekly payable checks and mailing on Friday. Processing/handling all overnight or UPS shipments. Type various correspondence for office staff. Maintain petty cash for office. Make coffee, maintain kitchen and purchase supplies. Responsible for handling company Sunpass account Maintain, organize and purchase office supplies Maintain file and obtain Certificates of Insurance for vendors Notarize company documents. Process and mail annual 1099’s to vendors. Responsible for obtaining and filing W-9 forms from all vendors. Maintain spreadsheet for property taxes and incoming rent payments. Coordinate food for business meetings. Maintain file and process Certificates of Insurance for customers. Responsible for making up folders for Accounts Payable Responsible for scanning and sending company documents. Maintain file for company vehicle titles. Other/Occasional Duties Organize yearly toy drive for Children’s Home Society. Responsible for decorating office for yearly Christmas holiday. Responsible for processing and shipping annual pistachios and Christmas cards. Hours Part-time, 20 hours per week.

Flexible Hours:

8:00am – 12:00pm / 9:00am – 1:00pm
