Growth Opportunity:
As part of our long-term vision, we offer a structured development path to transition this Administrative Assistant role into a licensed Client Associate position. The first phase will focus on managing office operations, client service protocols, and understanding our workflows. You’ll receive hands-on mentorship from the Managing Partners and Senior Registered Client Associate, gradually increasing your exposure to client interactions. As proficiency grows, we’ll support your preparation for registration exams (such as the SIE and Series 65 or 7) through guided study resources and full exam fee coverage. Our goal is to equip you with the knowledge, confidence, and credentials needed to serve clients directly and contribute meaningfully to their financial well-being within 2-3 years.
Responsibilities:
Assist in meeting scheduling, reminders, gather and input clients’ outside financial data as needed. Provide marketing assistance as needed including, coordinating with marketing vendor(s), website operations, client mail/email and client events. Take client meeting notes as requested by FA(s). Assisting all office employees to ensure they have what they need at their workstation to work productively and meet deadlines and company standards. Catalog and submit vendor invoices as requested. Managing telephone calls and emails from vendors and directing them to relevant staff. Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required. Organizing maintenance companies to keep the office clean, safe, and in good working order. Reporting office progress to partners and working with them to improve office operations and procedures. Developing, coordinating, and executing marketing campaigns. Supporting event planning, including applicable invitations and communication to clients.
Required Skills:
Excellent communication with the team via conference/Zoom calls, phone, email etc. Positive attitude, willingness to engage in various business projects and initiatives. Ability to assist and train new team members as needed. You have a sharp eye for opportunity and a quick mind that sees ways to uniquely solve problems all the while improving systems for the betterment of the team and client.
Qualifications:
Experience working within a professional office environment. Team player, eager to collaborate with others. Strong computer skills and knowledge of Microsoft Office products. Exceptional interpersonal and client service skills. Strong organizational and analytical skills; process orientated. Strong written and verbal communication and grammatical skills. Ability to navigate client concerns, report complaints as appropriate to FA(s) and compliance officer. Ability to manage a variety of tasks and prioritize individual workload responsibilities. Ability to work with strict confidentiality requirements, as well as utilize good judgment in the preparation and distribution of confidential information.
