Job Description

Administrative Assistant for Learning Support Services and Academic Programs 4.2 4.2 out of 5 stars 17235 7th Street, Montverde, FL 34756 Provide a full range of administrative and clerical support to the Learning Support Services department and to the Academic Programs department. The Administrative Assistant for LSS/AP assumes duties and responsibilities as directed and supervised by the Director of Learning Support Services and the Dean of Faculty. These responsibilities include, but are not necessarily limited to, the following areas listed below. The position is full time and works 10-months.

Responsibilities :

Manage the daily, weekly, monthly, and yearly calendar of the Learning Support Services department Filter all incoming calls to the Learning Support Services and Academic Program departments Assist with communications regarding stakeholders (students, parents, faculty members, staff members, and/or administrators) Assist with creating testing schedules for midterms, finals, and standardized testing Assist with test proctoring Keep an up-to-date copy of schedules of all students in the Learning Support Services program File appropriate LSS correspondence and necessary documentation in student files Keep accurate and up-to-date files on all students in the Learning Support Services program Order supplies when the order has been approved Keep the Director of Learning Support Services fully informed on all LSS issues Provide direct administrative support to the Dean of Faculty, including scheduling meetings, managing calendars, preparing correspondence, and coordinating communications Support initiatives related to curriculum planning, accreditation, institutional reporting, along with special projects and initiatives as directed by the Dean of Faculty. Collaborate with other administrative offices to ensure coordinated communication and workflow. Assist in the coordination of faculty evaluations, professional development programming, and mentoring processes, including maintaining related records.

Strong oral and written communication skills The ability to work with and communicate with a diverse population of constituents The ability to provide clerical support The ability to assemble, organize, and prepare data for records and reports Strongly proficient in Microsoft 365 (Outlook, Word, PowerPoint, Teams, and Excel) Strong organizational skills with the ability to maintain accurate records The ability to manage multiple tasks and deadlines with discretion and professionalism. The willingness to learn new skills appropriate for the position The ability to work in a dynamic environment dealing with a wide variety of challenges

Preferred Qualifications:

Bachelor’s degree Experience in an academic setting Familiarity with school management software (e.g. Veracross and Canvas) Physical requirements: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is frequently required to stand, walk, climb or balance; stoop, kneel, crouch, or crawl and taste or smell. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Must be able to access and navigate each department at the Academy’s facilities.
