Job Overview:

The role of the Administrative Assistant at North Star Yacht Club (NSYC) is to assist the property manager in his/her duties and responsibilities, give support in the day-to-day operations of NSYC, addressing owner’s concerns and owner’s inquiries. The Administrative Assistant is responsible for the efficient management of the property management office including but not limited to: Greeting and interacting with visitors and residents at the reception desk Obtaining signatures on the sign-in sheet for visitors and vendors Answering the phone in a professional and friendly manner providing answers to phone inquiries and/or directing calls to the proper party Monitoring front gate and providing access to vendors and properly credentialed visitors, directing same to office for sign in and/or to proper guest parking area Responsible for creating and recording all documents related to sales and leasing

ESSENTIAL JOB FUNCTIONS
  • Maintains Resident Directory by inputting updates and changes as they occur
  • Provides historical reference by developing and utilizing filing and retrieval system
  • Maintains all documents and files for NSYC rental pool:
  • Notification of owners with yearly renters 60 days prior to lease expiration so renewals can be accomplished in a timely manner
  • For all terminated rentals, return common area deposits
  • Manages clubhouse rentals:
  • Verifies availability of clubhouse/theater for requested dates
  • Requests signed agreement form
  • Collects applicable rental fees and deposits
  • Maintains rental application forms, collects rental fees and return deposits after inspection of areas
  • Notifies residents by email of upcoming reservations
  • Maintains pet ownership files.
  • Manages Pet registration and sends out kits for new pets and secures canine DNA
  • Orders supplies for doggy-DNA program
  • Processes and uploads NSYC invoices for review and forwards to Property Manager and a designated Board Member
  • Monitors supplies for office and kitchen, and janitorial supplies and notifies the Property Manager with enough advance notice to maintain a proper level of needed supplies
  • Updates NSYC Web site and Management software program by keeping information regarding meetings, governing document amendments, committee membership and events current
  • Send out email notifications as requested by Property Manager and/or Board of Directors
  • Coordinates Newsletter for residents as provided by a resident Newsletter editor, maintains an adequate hard copy supply of Newsletters for distribution to owners that request them
  • Maintains key locker
  • Assures keys are in the proper location
  • Maintains proper sign out and return of keys to the locker
  • Maintains and distributes auto RFID access tags for owners, residents and all approved vehicles
  • Manages gate code changes
  • Maintains a list of all assigned parking spaces and files properly filled out parking space agreements for rental of spaces by owners to other owners or residents
  • Coordinates all leasing and sales documentation required for
NSYC QUALIFICATIONS

Education and/or

Experience:
  • High School Diploma Licensure and/or
Certifications:
    N/A Knowledge/Skills/Abilities:
    • Ability to effectively interact with the public
    • Experience in office management of large properties offices (minimum 2-3 years)
    • Strong typing and office skills
    • Proficiency in Excel, Word, Adobe Acrobat and other Office suite applications required
    • Strong interpersonal skills and ability to work in a team environment
    • Professionally and effectively communicate; both verbal and written
    • Develop relationships with all levels of the organization and with vendors/contractors
    • Organized, and able to effectively manage multiple projects
    • Maintain complete confidentiality of sensitive information
