The right candidate will be extremely organized, excellent at multi-tasking, have strong written & verbal communication skills, and hold their product level to a high standard. We are seeking a candidate with a positive team attitude who has the ability to self-manage while meeting deadlines. The Administrative Assistant reports to the Community Association Manager for additional duties and reviews. Applicant must be detail-oriented, motivated, hardworking and an enthusiastic individual to perform a variety of office tasks.
Responsibilities:
Assist in the preparation of regularly scheduled correspondence and reports to the Board of Directors. Assist in preparation of community violations. Board, Annual & Budget Meeting Minutes. Community notices and communications. Monitor, maintain, and replenish office supplies as needed. Daily correspondence with owners and vendors. Miscellaneous typing, proof-reading, and document creation. Write and distribute email, correspondence memos, letters, faxes and forms Create & Maintain Organized Filing procedures according to legal obligations Update and maintain several directories simultaneously in an organized fashion Liaise with residents and management to handle communication and reports.
Qualifications:
The ideal candidate is detailed oriented, must have good customer service and interpersonal skills, computer skills, and good working rapport with others. Proven experience as an administrative assistant (in an Association Management office is a plus) Working knowledge of office equipment, like printers and fax machine; ability to use the equipment for multiple purposes beyond copies. Proficiency in MS Office (MS Excel, Outlook, Access Database, Power Point) Excellent time management skills and the ability to prioritize work. Attention to detail and problem-solving skills. Familiarity with AppFolio is a plus, but not required. Excellent written and verbal communication skills.
High School degree:
additional qualification as an administrative assistant or Property Management Support will be a plus
