Administrative Assistant American Condo Management Cape Coral, FL 33904 Job Description We are a busy management company seeking a motivated, organized, and detailed orientated individual for the Administrative Assistant position. This candidate will support the property manager and be expected to provide the highest professionalism to vendors, tenants, and owners. We are looking for a master multi-tasker with excellent communication skills and a positive attitude. Candidates should possess excellent organizational skills, work under pressure, be flexible, and focus. To be a successful Administrative Assistant, candidates should be attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks and excel at verbal and written communication. Most importantly, Administrative Assistants should have a strong work ethic, retain information, and be open to constructive criticism.
Position Duties:
Expectations, requirements, and responsibilities can include but are not limited to ;
- Assist in the daily operation of the management office and administrative duties.
- Assist the Condominium Association Manager (CAM) with day-to-day projects.
- Maintain organization in the workspace.
- Ability to work independently and as a team.
- Must have a can-do attitude with a commitment to excellence.
- Ability to complete multiple tasks in one day.
- Answer phones.
- Investigate and resolve complaints.
- Contact vendors to obtain proposals on various projects.
- Responsible for reconciling monthly bank reports.
- Coordinate and track important dates and meetings.
- Assist with gathering quotes & proposals for projects
- Responsible for working closely with the board of directors and owners.
- Prepare collection and violation letters.
- Ensure that all e-mails are responded to appropriately and promptly.
- Maintain, update, type, and coordinate owner’s account information in our database.
- Preparing mass mailings.
