This is a front desk position at an onsite professional office for an association. The role encompasses traditional office support tasks, customer service responsibilities, and technical duties. This position requires strong customer service skills, a friendly and positive attitude, multi-tasking and the ability to manage difficult or challenging situations in a professional manner. Proficiency in computer operations, software applications, troubleshooting, and data management are essential for this role. Key Responsibilities Greeting residents and visitors in a professional manner and responding to requests and questions. Accurately document issues and transactions using a detailed method. Take organized notes and comprehensive messages and distribute them via email and as directed. Answer multiple-line phones, take detailed messages, and screen and direct calls for management. Schedule of meetings, events and calendar management. Intake and process forms and related items. Keep the front office area and workspace in a neat and organized condition. Maintain an adequate office supply inventory and requisition of additional items as needed. Maintain and update filing systems (digital and physical), ensuring data accuracy and accessibility. Records management and data retention compliance. Prepare and distribute communications, correspondence, meeting packages, flyers, forms, reports, and other documents. Collaborate with team members on various projects and administrative tasks as needed. Administrative support to the HOA Manager, Executive Administrative Assistant, Board and Committees. If necessary, assist with preparation for office closure for storm related or building repair events. Must have the ability and willingness to perform temporary remote work through email, voicemail responses and zoom when necessary for office closure event (storm related or building maintenance related.) Experience Required minimum of two years’ experience working in a professional office environment with customers and other staff. Required to have strong office skills and technical abilities and experience with various software programs.

Ability to prioritize tasks, work as part of a team or independently as required. Problem-solving mindset Ability to handle sensitive or confidential information with discretion. Technical Skills Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), and basic office equipment (printers and scanners) Familiarity with database management, or content management systems (e.g., WordPress) is a plus. Experience with Adobe, Adobe Express and other programs for creating office materials. Experience with cloud-based platforms (e.g., Dropbox, OneDrive, Zapier) Communication programs, newsletters and texting. Comfortable learning new software or tools quickly.
