The Boca Grande Health Clinic Foundation is a non-profit organization that serves as a lifeline for the exceptional health care services provided by the Boca Grande Health Clinic. The primary purpose of the Foundation is to raise and manage capital to subsidize the operating and capital needs of the Clinic, ensuring a high standard of personalized primary and same-day services are available on the island.
POSITION OVERVIEW
The Development Coordinator reports directly to the Executive Director in support of the overall mission. This role supports all the operational requirements of managing a donor data base, including all data entries; posting gifts; gift acknowledgements; gift receipts; proper financial reconciliations; and, running both standard and custom reports to track gift metrics. This position also stays abreast of changing IRS rules and regulations around gifts and ensures the operations support the IRS rules. Additionally, this position serves to support and coordinate the logistics for various fundraising events and special projects.
PRIMARY RESPONSIBLITIES
Maintain donor database and understand the nuances of old and inconsistent data, ensuring accuracy and integrity, as well as troubleshooting/resolving database issues. Develop and implement data management procedures, including database security and backup, documenting database configurations and maintenance activities. Provide assistance and database expertise for special projects and consultants. Setup gifts, constituent queries, and reports for specialized requests. Develop Excel spreadsheets for specialized requests. Provide full support and gather relevant reports and information during annual audits. Cultivate relationships with existing donors and prospects through personalized communication and maintaining confidentiality along with high awareness of individual donors’ preferences and expectations. Assist Executive Director in grant writing and prospect research. Reconcile end of the month reports and provide relevant supporting documentation to the accounting and help the accounting team in reconciliation of such reports. Develop and design “on the fly” marketing materials. Create online forms and update Foundation’s website without the need to involve outside consultants. (saving time and cost). Provide general network / IT support, to keep Foundation’s operations downtime minimal, and perform other technical setups and support for meetings and events. Compile financial reports and projections for Executive Director, Board Chair, and committee chairs. Develop and track annual operating budget, with the guidance and direction of the Executive Director. Maintain marketing and communication material. Support the production of the newsletter, and any other communications through social media platforms.
QUALIFICATIONS
Bachelor’s degree and/or equivalent experience. Passion for the community and mission. 2-3 years of donor relations and database administration experience. Proficient with all aspects of data entry in operating systems as applicable, and Microsoft Office Suite including but not limited to Microsoft Excel, Word, PowerPoint, and Outlook. Knowledge of data protection regulations and best practices. Strong and professional written and verbal communication skills. Time management and collaboration skills. Personal effectiveness/credibility/ethical handling of sensitive information. Ability to quickly understand technical systems and databases and utilize same with strong problem-solving skills and commitment to data accuracy. Stress management/composure. Available to work weekends and evenings in support of fundraising events.
