Full Job Description Job Summary:
SteMic Marine Construction is a leader in marine construction, specializing in docks, seawalls, boat lifts, dredging, and more. We pride ourselves on delivering exceptional craftsmanship and customer satisfaction to residential, commercial, and government clients. We are looking for a detail-oriented and motivated individual to manage office operations, assist with permitting, and provide excellent customer service. This role will include answering phones, greeting clients and vendors, supporting document and file management, and learning the permitting process with the goal of handling full permitting responsibilities over time. Key Responsibilities:
Serve as the first point of contact by answering phone calls and greeting walk-in clients and vendors Schedule and coordinate meetings, site visits, and team appointments Maintain organized paper and digital filing systems for easy document retrieval Prepare, proofread, and distribute job-related paperwork and communications Manage incoming and outgoing mail, deliveries, and general office supply inventory Assist with invoicing, basic bookkeeping, and expense tracking (QuickBooks experience a plus) Provide support for permitting processes, including submitting forms and communicating with municipalities Collaborate with project managers and field staff to support ongoing jobs Ensure a clean, professional, and welcoming office environment Help with additional administrative or project support tasks as needed
Qualifications:
Prior experience in office administration or customer service required Strong organizational skills and attention to detail Familiarity with scheduling tools, Microsoft Office, and general office software Experience with QuickBooks or willingness to learn basic bookkeeping tasks Excellent communication and interpersonal skills, both written and verbal Ability to multitask and adapt to changing priorities in a fast-paced environment Knowledge of permitting or experience with municipal paperwork is a plus, but not required Bilingual candidates are encouraged to apply Experience in a construction or marine-related business is a plus but not required
