Job Description

Administrative Assistant 4.3 4.3 out of 5 stars Tallahassee, FL Department College of Law Responsibilities This position provides direct administrative support, as well as helps coordinate information and services for the Office of Development and Alumni Affairs. Serves as initial office point of contact, answers main phone line, and checks and responds to office e-mail account. Assists with database maintenance, including research and data entry. Provides support for office functions and events. Maintains office files and filing system. Proofreads/edits office correspondence and documents. Acts as a travel representative for assigned office staff. Conducts inventory of office supplies and merchandise. Creates/generates reports. Acts as internal and external office runner. Assists with maintenance of the College of Law’s constituent database as well as utilizes the FSU Foundation’s database and reports. Research alumni information. Enters and updates all alumni information from all sources. Completes projects involving use of database. Performs clerical duties. Answers main phone line and maintains office e-mail account. Prepares, reviews, and edits correspondence. Compiles meeting notes. Prepares materials, generates reports, and creates forms. Assists with general filing as well as office organization and maintenance. Provides support for special programs and events. Helps with preparation and execution. Assists with event logistics, including but not limited to room/space/location reservations, catering services, and technology needs. Helps staff programs/events. Help coordinate the office calendar and staff schedules. Maintains central office calendar to include office projects/events, leave dates, and travel schedules. Assists in training of office OPS staff. Compiles information for meetings and events. Reviews, edits, and mails invitations. Creates and maintains RSVP lists. Designs and prints name tags. Gathers and ships materials. Qualifications High school diploma or equivalent and two years of experience. (
