Administrative Associate, Office of the President Florida State University – 4.3 Tallahassee, FL Job Details Full-time $30,000 a year 2 days ago Qualifications Customer service Mid-level 3 years High school diploma or GED Organizational skills Office experience Full Job Description Department Office of the President Responsibilities Serves as the first point of contact for individuals calling or visiting the President’s Office or the office suite, including the Provost’s Office, the General Counsel’s Office, and the Faculty Development and Advancement Office, providing information and assistance. Determines which calls and visitors should be referred to other offices. Identifies those who need to meet with a member of the President’s staff and handles requests that can be managed independently. Assists with problem-solving for the day-to-day operations of the offices, including independent research on a variety of administrative duties. Assists in researching, coordinating, and processing all purchasing needs with staff, university personnel, and suppliers. Assists with formatting, printing, and mailing business correspondence. Monitors visitor access and follows security protocols. Coordinates the collection and distribution of all incoming mail. Assists in maintaining a database for incoming mail for the President and entering information into the database for future reference. Distributes copies of various types of correspondence and copied materials to appropriate individuals. Schedules and confirms use of the President’s Office conference rooms. Ensures the rooms are tidy, organized, and presentable for all meetings. Develops procedures for requesting the use of rooms and serves as the liaison to groups and individuals using facilities. Sets up technology needs in each room and coordinates with ITS when technical assistance is needed. Carries out special assignments as needed and performs related work as required. Qualifications High school diploma/equivalency and three years of experience; or a combination of post-high school education and experience equal to three years. Preferred Qualifications Experience working in an office environment. Exceptional customer service skills. Experience preparing business correspondence. Excellent multitasking and organizational skills. Experience managing multiple calendars and scheduling. Anticipated Salary Range Starting Salary:
