Serves as back up for the administrative functions of the front office. Responsible for travel requests and expense reports for the College and serves as the travel delegate. Ensures that appropriate approvals have been obtained, and that travel is in compliance with the State of Florida, Florida State University, and CSW policies and procedures. Provides training and support to faculty, staff, and students on policies and procedures related to travel and reimbursements. Recommends and implements internal best practices for efficient operations. Assists travelers with travel arrangements and bookings. Utilizes travel cards to pay for travel expenses directly. Collects proper receipts after travel and facilitates expense reimbursement. Processes expense reports on behalf of other departmental travel card holders. Ensures sound internal controls and compliance by monitoring travel activities using queries & reports. Manages travel allocations throughout the fiscal year using a tracker. Maintains travel receipts, requests, and documentation in a filing system. Provides backup support for travel activities related to the CSW Dean’s Office, Centers, & Institutes. Responsible for obtaining and reviewing quotes, determining best procurement methods, entering requisitions, tracking procurement items from requisition to delivery and receipt, and monitoring invoice payment for the College as the procurement representative. Ensures adequate supplies are in stock in the copy room and general supply cabinets available to CSW faculty and staff. Monitors procurement activities daily by utilizing queries and reports. Assists in creating a sound environment of internal controls by ensuring purchases comply with State, University, and CSW policies and procedures. Acts as the College’s primary purchasing cardholder and backup proxy. Serves as the backup for procurement activities for CSW Centers and Institutes. Performs duties of the department inventory taker, including timely completion of the annual inventory of property. Handles departmental mail and conference room calendars. Serves as a back-up contact for the College of Social Work Dean’s office suite by assisting guests and employees with inquiries via phone, email and direct contact. Assists with book orders for instructors and other duties as needed. Qualifications High School diploma or equivalency and three years experience or a combination of post high school education and experience equal to three years. Preferred Qualifications The ideal candidate should be knowledgeable using the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) within a professional work environment.
