Office Assistant (OPS), College of Medicine Finance & Administration 4.3 4.3 out of 5 stars Tallahassee, FL Department College of Medicine (COM), Med Finance & Administration Responsibilities The College of Medicine’s Finance & Administration Department is seeking a detail-oriented and proactive OPS Office Assistant to support its high-volume and fast-paced Administrative Services Office. This role involves critical administrative and operational tasks to ensure the smooth functioning of HR processes and overall office operations. Tasks may vary based on business needs, and the position will also involve participation in special projects as assigned.
Responsibilities include:
Document Management:
Review, rename, file, and organize scanned documents in compliance with formatting standards.
Payroll Reporting:
Generate weekly reports, identify funding issues, and notify the
COM ASAP
team members.
Employee Data Management:
Maintain and update data within FSU and COM software systems.
File Organization:
Regularly review and update file names for consistency and accuracy.
Special Projects:
Assist with tasks and special assignments under the supervision of the department’s operations as assigned.
Administrative Support:
Conduct thorough reviews of internal processes, ensuring documentation and procedures are accurate and up to date. Work behind the scenes to facilitate smooth operations by organizing resources, coordinating systems, and supporting team workflows. Qualifications High school diploma or equivalent.
