Job Description

Administrative Assistant 3.0 3.0 out of 5 stars 2825 17th Street East, Palmetto, FL 34222 The Administrative Assistant is responsible for the day-to-day operations of the administrative services function. This role involves performing clerical, administrative, record-keeping, basic accounts payable, and other administrative support functions. The Administrative Assistant works in collaboration with the other office staff and reports to the Controller

DUTIES & RESPONSIBILITIES

Administration Professionally answer phones, respond to questions, or direct calls as appropriate. Greet visitors and direct inquiries to the appropriate individuals. Receive packages, pick up mail, and distribute packages accordingly. Schedule and coordinate various calendar events as needed. Order office supplies and manage orders and maintenance requests. Communicate with vendors, delivery drivers and general contractors to schedule inspections, collect fees, send out inspection packets, request forms, and schedule deliveries. Performs various administrative and clerical tasks, as assigned by command staff members. Accounts Payable Obtain and retain the required new vendor documentation. • Sort, match, and distribute invoices Maintain and update the Vendor Master List and other supporting vendor documents. Perform all data entry into QuickBooks (QB). Prepare Journal Entries Complete Vendor Applications Prepare ACH payment authorizations for approval by the Controller. Once approved, forward authorizations to individual authorized to execute ACH transactions at the bank. Balance monthly material invoices.

QUALIFICATIONS

High school diploma or GED equivalent required. Two years of administrative office experience, or combination of education and experience.

KNOWLEDGE AND SKILLS

Familiarity with accounts payable preferred Bi-Lingual is a plus! Must be familiar with basic accounting principles. Must be familiar with Microsoft Office. Demonstrate excellent interpersonal skills with the ability to communicate effectively orally and in writing
